Payment posting in medical billing is simply the process of recording payments received from insurance companies and patients directly into your medical billing system. It sounds straightforward, but with it being right at the center of your entire revenue cycle, when it goes wrong, everything downstream tends to suffer.

In essence, every time a payer processes a claim, they send back an explanation of what they paid, adjusted or denied. Naturally, that information needs to land accurately in your system, matched to the right patient accounts and the right claims, or else you’ll be facing denials or audits – or just general hassle you don’t need. 

How Does the Payment Posting Process Actually Work?

Let’s break down the payment process in more detail:

1. Receiving Payment and Remittance Information

When insurers process claims, they send over an electronic remittance advice (ERA) – which is essentially a detailed breakdown of the payment.

That includes everything from what was approved or reduced to what was denied. For the practices out there still working with paper, you’ll get this as an Explanation of Benefits (EOB) instead.

The step payment posting process starts here. Your billing team takes that payment and denial information and begins reconciling it against what was originally billed. 

Electronic payment posting uses software to automatically apply payments based on ERA data, which speeds things up considerably compared to manual posting (where someone has to key in each payment by hand).

2. Posting Insurance and Patient Payments

Got your remittance?  The next step is actually recording payments against each claim. Insurance payments will get applied first, and then whatever the insurer didn’t cover gets  assigned as patient responsibility – that’s the balance that eventually goes out on a patient statement.

Going back to the importance of accuracy, accurate payment posting here matters a lot here since if payment details get entered incorrectly – or if adjustments aren’t applied properly – your financial records end up distorted. This reconciliation catches discrepancies early – before they become bigger problem – and keeps your payment data clean and auditable. While this is a fairly basic control you’re probably used to, it’s still one of the more reliable ways to catch payment posting errors before they compound.

Why Accurate Posting is So Important for Your Revenue Cycle

Efficient payment posting simply keeps cash flow moving. Which matters a lot when you’re a small practice. It also helps your staff:

– Identify underpayments

– Flag denied claims for follow-up

– Get patient balances out the door faster

The most direct way to improve payment posting accuracy is generally to move toward electronic payment posting wherever possible. 

This is because ERAs reduce keying errors and significantly speed up the medical billing process. Beyond that, you’re best off with regular audits of posted payments against bank deposits. Those help catch problems early. But clear internal workflows around who handles exceptions – partial payments, denials, contractual adjustments – are another way of preventing things from falling through the cracks.
